When you add an ACH rule, you can name it whatever you would like so it is easily recognizable! You can name it the name of the Company (i.e., Wisconsin Public Service) or the purpose (Health Insurance Premium).
When you add an ACH Rule, you can also place a maximum debit limit on the Company you are adding! If you are fine with your credit card company debiting $5,000.00 but not more than that, set that as your limit. If they debit $5000.01 or more, the transaction will create an exception and you can choose to Pay or Return it. Setting Maximum Limits adds additional protections for your Company.
You can see your ACH Authorization List of approved companies’ right within the “System Reports” section of Positive Pay. Send an email to [email protected] if you wish to remove anyone or make a change.
When you do not load your check issue file or manually add issued checks into the positive pay system it creates a longer morning review process for our back office personnel since each check kicks out as an Exception for “Issue Not on File”. Repeat offenders will incur a ‘Missed Issue File Fee’ of $25.00. A big portion of the service is you doing your part in providing us the check issue detail!
Checks automatically become stale-dated in the system after 180 days (industry standard for checks). If you would like that time shortened to match a legend on your checks, such as “Void after 90 days”, send an email to [email protected] with your desired timeframe and we can update it!
The day after Thanksgiving is a business day at the bank, even if you are closed! Please provide a cell phone or alternate contact phone numbers so we don’t return legitimate items if they create Exceptions. (Or instead: Please provide your Treasury Management team with multiple ways to call you regarding your Positive Pay exceptions. We also suggest having a back-up person available in case you are out.)
The cut-off time for you to make decisions for your exceptions is 11:00 a.m. CST. After that time, items are automatically marked for Return. Please make your decisions prior to 11:00 a.m. CST so valid items are not returned!
You can make a change to a check if you accidentally entered it incorrectly. Search for the check and choose the “Display” option to the far right. You can change any of the open fields and click “Update”!
